Who operates this platform
The Media & Entertainment Association of India (MEAI) operates this event application and business matchmaking platform. Contact secretary@meai.in for privacy questions, access, correction, withdrawal, deletion requests or marketing preferences.
Information we collect
We collect your name, professional contact details, country, job role, company details, buyer classifications, content interests, acquisition preferences, event-specific answers and consent records. We record application and participation history, accepted notice and policy versions, verification activity and security/audit information needed to protect the service. Do not submit passport scans, payment-card details or sensitive documents in free-text fields. The application does not request a passport upload or password.
How we use information
We use information to verify email ownership and company association, assess applications independently for each event, request corrections, communicate decisions, arrange approved participation, maintain reusable accounts and company profiles, coordinate meetings when enabled, and respond to support and security issues. Applying is not approval or confirmation of travel arrangements. Necessary travel information may be requested later through an individually agreed secure channel.
Who can see information
Authorised MEAI administrators review applications. When discovery is enabled, approved buyers can discover sellers and approved sellers can discover buyers in the same event. Relevant business profiles and content interests may be shown for this purpose. Buyers cannot discover other buyers and sellers cannot discover other sellers. Private application answers, security tokens and internal reviewer notes are not discovery fields. Applying does not make a profile public. Discovery and meeting tools are separately controlled.
Service providers and travel
The platform uses hosting and outgoing email services associated with the technical server hostname xenon.ebhasin.com. Authorised operators process information necessary to run these services. This hostname does not establish the provider’s legal identity or the country where data is stored; no India-only storage or absence of international transfers is claimed. MEAI may provide necessary details to relevant hotel, airline or travel providers to arrange individually confirmed benefits. Provider identity, required information and applicable terms should be confirmed with the organiser when arrangements are made. Contact secretary@meai.in for provider information.
Email and optional marketing
Operational messages include ownership verification, requests for information, application decisions, invitations, account security and participation arrangements. Optional marketing consent is separate. Declining or withdrawing marketing consent does not affect application assessment. Contact secretary@meai.in to change marketing preferences; necessary communications for an active application or account may continue.
Retention
MEAI retains user and participation information while the account exists unless the user requests deletion. Account inactivity, an event ending or the age of participation information does not by itself trigger automatic deletion. Users can request deletion of their account and eligible associated personal information. Certain records may need to be retained for applicable legal, financial, security or unresolved dispute obligations, with the reason recorded and access restricted. Consent and application history remain auditable to the extent legally necessary.
Access, correction and deletion requests
Sign in at /account/privacy to request deletion, confirm the request, view its status or cancel it while pending. Recent password confirmation is required. You may also contact secretary@meai.in for access, correction or deletion support. MEAI verifies identity before acting; do not send passwords, one-time codes or unsolicited passport documents. Authorised staff review dependencies and lawful retention exceptions. Approved deletion must remove or anonymise eligible personal information, protect other representatives’ shared company records, and revoke account access, sessions, active invitations and participation. The platform currently records requests and review; destructive execution is not automated. Approval is not a statement that deletion is complete. No unapproved response deadline is promised.
Backups and restoration
Information removed from the active service can remain in restricted backup copies until the applicable documented backup rotation completes. Immediate irreversible deletion from every backup is not promised. MEAI must record the relevant rotation and any exceptional retention when handling a deletion. Before a restored backup is returned to service, authorised staff must reconcile the approved deletion record and reapply required removal, anonymisation and access revocations. An older backup must not silently reinstate approved deletions. Automated deletion or restoration reconciliation is not represented as implemented.
Security and policy updates
MEAI uses HTTPS, restricted administrative access, private application storage and audit records for important changes. No system guarantees absolute security. The service records applicable consent and event-policy versions. Material policy changes will be communicated through the website or directly where appropriate and do not silently rewrite previously accepted event policies.
